We know our clients are patient-care focused and are generally devoting attention to the many areas of their practice. We try to limit the number of meetings and generally keep updates via email and slack communication. Clients can schedule meetings during our office hours to discuss any projects or tasks. For urgent matters or updates that require immediate response, we will reach out by phone.

How often are you meeting with clients for updates?

Are list of services are listed here for reference. We do not offer services such as social media strategy, marketing related services copy writing/editing, copy proofing,  medical coding. If you believe there is a service not listed that you'd like to have a discussion about, please let us know.

Are there any services that are out of scope for VPS?

While there is no trial period, all of our contracts are from a month to month basis. We request a 15 day advance notice for termination of services. We also reserve the right to terminate agreements with any client including but not limited to unreasonable demands, abusive behavior, untimely payments, and communication barrier.

What are your hours of operation?

Invoice is to be paid via PayPal and PayPal accepts all major credit & debit cards, checks, and bank accounts. You do not need a PayPal account to pay for your invoice. We will send a Paypal invoice twice a month.

Occasionally, VPS may need to perform notary services within the greater Atlanta area, however, majority of our services are performed virtually. We are committed to serving our clients on a remote basis.

How much is notary service?

Notary service is a flat rate of $2 + $1 for each page requiring signature and official seal. You must schedule notary services 72 business hours in advance. Notary service scheduled less than the 72 business hours, is subject to availability and will include a $20 surcharge. Notary request on the weekend is $30 and $1.50 per travel mile.

At this time, VPS is exclusively for medical and clinical offices.

For each of our package, clients are billed twice a month. 50% of the package price is due upfront and the other 50% at the end of your billing cycle.

How do I pay for my invoice?

Hours of operation for VPS are between 8-6pm EST Monday - Friday and excludes major federal holidays. We will notify clients on days where availability is limited and days we are out of the office.

In the instance where you're unsure how many hours you may need, during the initial consultation where we discuss the scope of the services, I'll make a recommendation.

What if i do not use all of my hours on a month?

Unused hours do not rollover from month to month. In the instance where we observe workload is lightened, we will bring to to the attention of our clients and recommend a reduced package.

is a consultation necessary?

A consultation by phone or video conferencing is required before we can officially begin the process of securing you as a client. With an intentional approach to our business, we like to ensure that we can serve our clients in the capacity they need and during our consultation this provides. insight and clarity into what this entails.

Are you HIPAA compliant?

At VPS, it is our obligation to strictly adhere to all HIPAA compliant rules and regulations. We continuously educate our team on HIPAA related updates and changes as well as best practices to maintain our HIPAA compliant status as a secure agency with respect to confidentiality and privacy for our clients and their patients.
